Initial Contact and Appointment Scheduling

Patients can inquire about services via phone, website, or in-person, with information entered into the Epic EMR system. Appointments are scheduled through Epic, and confirmation and reminders are sent via email, text, or phone.

Pre-Appointment Preparation

New patients register online through the Epic patient portal, providing personal, medical, and insurance information, while existing patients update their details. Patients also complete medical and dental history forms in Epic, and receive pre-visit instructions and forms if necessary.

Check-in and Initial Assessment

Upon arrival, patients check in via a kiosk or with front desk staff, where insurance details are verified and co-pays collected. In the consultation room, dental assistants or hygienists conduct initial assessments, including vital signs, digital x-rays, and photos.

Consultation and Examination

The dentist reviews the patient’s history and initial assessments in Epic, conducts a thorough examination, and discusses treatment options. Necessary diagnostic tests are performed, results uploaded to Epic, and findings discussed with the patient using Epic’s imaging tools.

A personalized treatment plan is developed, discussed with the patient, and includes cost estimates, payment options, and follow-up appointments. Patients review and sign consent forms for recommended procedures through the Epic system.
